2018 SAIS Charlotte Exhibits

Join us in Charlotte in January for two SAIS events: Athletic Directors Conference and Finance Institute. We expect a combined attendance of around 75.  This is an excellent opportunity to connect face-to-face with these leaders of the independent school community.

  • SET-UP:  8:00-9:00 AM
  • SHOW HOURS:  9:00 AM-6:00 PM
  • TOTAL DEDICATED EXHIBIT TIME: 3.5 hours

WEDNESDAY EXHIBIT SCHEDULE

WEDNESDAY, JANUARY 17

  • SHOW HOURS:  8:00 AM-1:00 PM
  • TEAR-DOWN:  1:00-2:00 PM
  • TOTAL DEDICATED EXHIBIT TIME: 2.5 hours

EXHIBIT BOOTH PERSONNEL

Registration for the full conference for ONE booth rep is included with booth purchase. A maximum of two (2) personnel per booth will be allowed. The second booth rep is $100. Booth reps must be company employees.  Please note that no suitcasing will be allowed. 

WHAT'S INCLUDED?

Your exhibitor fee includes:

  • Listing in the conference materials & website
  • 6' x 30" table (please note this is a table-top show)
  • All meals and sessions
  • Wifi
  • Electricity
  • Mailing labels of all conference attendees as of January 2

BOOTH PACKAGE & RESTRICTIONS

Each exhibitor will have a 6' x 30" table. Due to space restrictions, larger tables will not be available. If you require additional space, you may purchase two booths and we will place them together.

  • Signs over 8' wide and rugs that protrude into the aisle are prohibited.
  • Booths not dismantled by the tear down time period will be broken down and put into storage at a $250 storage and handling fee. Shipping will be an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting's purpose.

PAYMENT

Booths must be paid for at the time of reservation via MasterCard, Visa, AmEx, or Discover. Checks are not accepted for exhibit booths.

HOTEL RESERVATIONS

The SAIS block deadline has passed. You may make a reservation at a non-discounted rate based on availability here or by calling 1-800-2CROWNE. Check-in time is 3:00 PM. Check-out time is 12:00 PM. Parking, guest room internet, and airport shuttle are complimentary.

Please note that SAIS is not using a housing bureau for room reservations. SAIS nor the hotel will call you and ask you to make reservations over the phone. If you receive a phone call saying you need to make reservations, it is a scam. Please make your reservations online or by calling the hotel directly.

SHIPPING

Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Crowne Plaza Charlotte Executive Park. Boxes will be received no earlier than January 11. Please use the following address and label format and if you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight.  SAIS is not responsible for missing freight.

RETURN SHIPPING: We HIGHLY recommend bringing your own pre-printed shipping labels.

REFUNDS & CANCELLATIONS

Booth cancellations received in writing to events@sais.org before December 1 will be refunded less a 20% processing fee. Cancellations received after December 1 are not eligible for a refund.

MEDIA RELEASE

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
