EXHIBIT BOOTH PERSONNEL

A maximum of two (2) personnel per booth will be allowed. Registration for the full conference for both personnel is included with booth purchase for the day you choose to exhibit. Booth reps must be company employees. If additional personnel beyond two wish to participate, they may register as conference attendees at the non-member school rate after the attendee registration form opens. Please note that no suitcasing will be allowed. 

During this initial registration, you will not be asked to provide names for the on-site booth reps. Prior to the conference, we'll send you an additional form to register your on-site booth reps.

WHAT'S INCLUDED?

Your exhibitor fee includes:

  • Conference registration for the day you are exhibiting (including all meals for that day) for up to two (2) booth personnel
  • Listing in the conference program & website
  • 6' x 30" table and 2 chairs (please note this is a table-top show)
  • Wifi
  • Electricity
  • Mailing labels of all conference attendees as of October 1

BOOTH INFORMATION

BOOTH ASSIGNMENT

NEW this year we will assign booth locations in August.  Please submit your top three choices when you register.  We will do our best to place you there, subject to availability (first come, first served). Note that booth assignments will be done IN THE ORDER RECEIVED. Specific booths have been set aside for sponsors, which are noted in blue on the floor plan. View the booth map here.

BOOTH PACKAGE & RESTRICTIONS

Each exhibitor will have a 6' x 30" table and 2 chairs. Due to space restrictions, larger tables will not be available. If you require additional space, you may purchase two booths and we will place them together.

  • Signs over 6' wide and rugs that protrude into the aisle are prohibited.
  • Booths not dismantled by the tear down time period will be broken down and put into storage at a $250 storage and handling fee. Shipping will be an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting's purpose.

EXHIBIT HALL LAYOUT

The exhibit space is in the pre-function area of the Ravinia Ballroom at the Crowne Plaza Ravinia (and is over 6,000 sq ft!). Due to the large size and open configuration of the pre-function space, all booth locations can offer a positive experience for interacting and conversing with conference participants, as well as easy access to the sessions and meals (which will take place in the Dunwoody and Ravinia rooms, as shown on the map). Additionally, you'll see that the other side of the pre-function space offers sole access to the hotel lobby, restrooms, and parking deck. One of the reasons we chose this hotel was because we think the exhibit space will work well for you, so we look forward to your feedback throughout the conference.

PAYMENT

Booths must be paid for at the time of reservation via MasterCard, Visa, AmEx, or Discover. Checks are not accepted for exhibit booths.

HOTEL RESERVATIONS

The SAIS group rate is $134. You may make your hotel reservation online HERE or by phone at 1-800-554-0055. The cut-off date is October 1. If you would like to upgrade, arrive early, or stay over, your reservation must be made by phone. Available upgrades include king corner suite $159 and 1-bedroom suite $189. Check-in 4pm. Check-out 12pm.

Please note that SAIS is not using a housing bureau for room reservations.  Neither SAIS or the hotel will call you and ask you to make reservations over the phone. If you receive a phone call saying you need to make reservations, it is a scam. We will provide a link for reservations once registration is open.

  • SAIS Conference is state of the art. The topics are fantastic, the participants are friendly and engaging, and the SAIS staff is the gold standard. They work hard to make the experience as pleasant and easy as they can.

This creates a congenial tone unmatched at other events and therefore makes the SAIS conference more productive than any other.
  • We liked that there were set times for the attendees to speak to the exhibitors; many other conferences expect attendees to find time to speak with us between sessions and that often does not happen. It was very organized and we knew exactly what to expect.

SHIPPING

Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Crowne Plaza Ravinia. Boxes will be received no earlier than October 18. Please use the following address and label format and if you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight.  SAIS is not responsible for missing freight.

RETURN SHIPPING: We HIGHLY recommend bringing your own pre-printed shipping labels.

REFUNDS & CANCELLATIONS

Booth cancellations received in writing to events@sais.org before July 31 will be refunded less a 20% processing fee. Cancellations received after July 31 are not eligible for a refund.

MEDIA RELEASE

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
