The SAIS Annual Conference is the largest regional networking and educational event for independent school professionals in the Southeast. Becoming an exhibitor offers the opportunity to reach the 300+ decision-makers expected to attend, including heads of school, associate heads, division heads, academic deans, business officers, technology directors, development directors, admissions directors, and communications / marketing directors, among others. These leaders are seeking the latest products and services to help their schools better serve their students, families, and communities.

  • We will contact you in September to ask for the names of your on-site personnel.
  • A maximum of two (2) personnel per booth will be allowed.
  • Conference registration for booth personnel is included.
  • All booth reps must be employees or representatives who receive commission, brokerage, or salary from the exhibitor.
  • Booth reps must be over the age of 21.
  • Please note that no suitcasing will be allowed.
  • No pets or animals allowed in the exhibit or meeting space.


Your exhibitor fee includes:

  • Conference registration for Sunday and Monday (including meals provided) for up to two (2) booth personnel
  • Listing in the conference program & website
  • 6' x 30" table and 2 chairs OR highboy table and 1 barstool (please note this is a table-top show)

You will select your booth when you register. Note that booth placement will be done IN THE ORDER RECEIVED. View the booth map here. *Please note: Floor plans are subject to change and SAIS reserves the right to make adjustments as necessary. Floor plans may not immediately indicate ongoing and most recent changes.


Each exhibitor will have a 6' x 30" table and 2 chairs OR a highboy table and 1 barstool. Due to space restrictions, larger tables will not be available. If you require additional space, you may purchase two booths and we will place them together.

  • Signs that are wider than your allotted booth space and items that protrude into the aisle are prohibited.
  • Booths not dismantled by the tear down time period will be broken down and put into storage at a $250 storage and handling fee. Shipping will incur an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting's purpose.


The exhibit space is on two levels. We have modified the conference schedule so that the sessions release on a different level each day, thereby allowing equal exposure for both floors. As always, we will arrange the food and beverage throughout the exhibit space in order to increase booth traffic. Exhibitors are encouraged to attend sessions and interact with attendees throughout the entire conference. We look forward to your feedback throughout the conference.

Booths must be paid for at the time of reservation via MasterCard, Visa, AmEx, or Discover. Checks are not accepted for exhibit booths.

Please note that SAIS is not using a housing bureau for room reservations. SAIS nor the hotel will call you and ask you to make reservations over the phone. If you receive a phone call saying you need to make reservations, it is a scam. Please make your reservations online or by calling the hotel directly.

As a result, the web of connections between participants is deeper, richer, and longer. This creates a congenial tone unmatched at other events and therefore makes the SAIS conference more productive than any other.
  • We liked that there were set times for the attendees to speak to the exhibitors; many other conferences expect attendees to find time to speak with us between sessions and that often does not happen. It was very organized and we knew exactly what to expect.


Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Charleston Marriott. Boxes will be received no earlier than October 10. Please use the following address and label format and if you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight. SAIS is not responsible for missing freight.

RETURN SHIPPING: Exhibitors must bring their own pre-printed labels as the hotel does not ship. Exhibitors must call and schedule pick-up for their packages.



Booth cancellations received in writing to before July 31 will be refunded less a 20% processing fee. Cancellations received after July 31 are not eligible for a refund.


Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
