WHAT'S INCLUDED?

Your exhibitor fee includes:

  • Conference registration for Sunday and Monday (including meals provided) for up to two (2) booth personnel
  • Listing in the conference website
  • 6' x 30" rectangular table and 2 chairs (please note this is a table-top show)
  • Sign with logo at booth
  • Table host networking opportunity at the Monday lunch
  • Wifi & electricity
  • Mailing labels of all conference attendees as of September 18

EXHIBIT BOOTH PERSONNEL

  • We will contact you in September to ask for the names of your on-site personnel.
  • A maximum of two (2) personnel per booth will be allowed.
  • Conference registration for booth personnel is included.
  • All booth reps must be employees or representatives who receive commission, brokerage, or salary from the exhibitor.
  • Booth reps must be over the age of 21.
  • Please note that no suitcasing will be allowed.
  • No pets or animals allowed in the exhibit or meeting space.

BOOTH INFORMATION

BOOTH ASSIGNMENT

You will select your booth when you register. Note that booth placement will be assigned IN THE ORDER RECEIVED. *Please note: Floor plans are subject to change and SAIS reserves the right to make adjustments as necessary. Floor plans may not immediately indicate ongoing and most recent changes.

BOOTH PACKAGE & RESTRICTIONS

Each exhibitor will have a 6' x 30" rectangular table and 2 chairs. Due to space restrictions, larger tables will not be available. If you require additional space, you may purchase two booths and we will place them together.

  • Signs that are wider than your allotted booth space and items that protrude into the aisle are prohibited.
  • Please note the designated set-up time. Early set-up will incur an additional $200 fee.
  • Booths not dismantled by the tear down time period will be broken down and put into storage at a $250 storage and handling fee. Shipping will incur an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting's purpose.

SPONSORSHIP

PAYMENT

Booths must be paid for at the time of reservation via MasterCard, Visa, AmEx, or Discover. Checks are not accepted for exhibit booths.

Reservations may be made by phone at (888) 236-2427.

  • Group rate = $164
  • Cut-off date = Saturday, September 26 or when the block is full

  • GROUND TRANSPORTATION: The Franklin Marriott Cool Springs is located 20 miles from the Nashville International Airport. Please see the hotel's maps & transportation page.

This creates a congenial tone unmatched at other events and therefore makes the SAIS conference more productive than any other.
  • We liked that there were set times for the attendees to speak to the exhibitors; many other conferences expect attendees to find time to speak with us between sessions and that often does not happen. It was very organized and we knew exactly what to expect.

SHIPPING

Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Franklin Marriott Cool Springs. Boxes will be received no earlier than October 14. Please use the following address and label format and if you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight.  SAIS is not responsible for missing freight.

RETURN SHIPPING: We HIGHLY recommend bringing your own pre-printed shipping labels.

REFUNDS & CANCELLATIONS

Booth cancellations received in writing to info@sais.org before August 31 will be refunded less a 20% processing fee. Cancellations received after August 31 are not eligible for a refund.

MEDIA RELEASE

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
